Policy 4 - Personnel Records and Disclosure of Information

Personnel File - A personnel file consists of any information gathered by the agency, which employs an individual, previously employed individual, or considered an individual for employment. Also, information relating to the individual's application, selection, non-selection, promotion, demotion, transfer, leave, salary, suspension, performance appraisal, disciplinary actions and termination of employment is considered a personnel file. If this information is retained on an individual, it is considered a personnel file wherever located on the campus and in whatever form. Only information related to an individual's employment should be retained in an employee's file.
